Promotion Letter

A promotion letter should have the following information:


  1. Inform the person that he/she is getting promoted to the position of______.


  2. Include the date from which the promotion is effective. Alternatively, you can also write that it is effective immediately.


  3. If there is an employee reference number, include that in the letter.


  4. Mention salary increase, if any.


  5. Congratulate the person.


  6. Close the letter by reaffirming your confidence in their ability and looking forward to their good performance.


  7. The letter can be written using both 'I' or 'We'. For example, both the styles below are correct.

    “I am pleased to inform you that - - - - -”

    Or

    “We are pleased to inform you that - - - - - ”

    Both the styles are correct. But whatever style you choose, make sure it is used consistently throughout the promotion letter.


  8. Since the letter is addressed to somebody working within the organization, they can be addressed informally by the first name. For example, Dear Rajiv, Dear Janet, or Dear Tina.
